The purpose of this privacy notice (“Privacy Notice”) is to let you know how WithMe, Inc. PrintWithMe LLC, and SipWithMe LLC collects and handles your personal information. This Privacy Notice also describes your rights related to our use of personal information.

1. Introduction

We are PrintWithMe LLC, (“PrintWithMe”, “we”, “us”, “our”) a provider of mobile printing, scanning, and faxing services through our website (printwithme.com) and our PrintWithMe app. This Privacy Notice applies when you use any of our services or interact with our website/app. It does not apply to any third-party applications or third-party software that integrate with our services.

It is important to know that this Privacy Notice is separate to our Terms of Service, which you should also read because they set out the legal terms governing delivery, access and use of our services.

2. What We Do With Your Personal Information

2.1 Information We Collect About You

We directly and indirectly collect personal information about you.

The sections below describe how we get your personal information, why we get it, and who we share it with, including who we have shared it with in the past 12 months. In general, we use your personal information for the following three reasons: (1) to provide, update and maintain the services we offer to you; (2) to communicate with you about our services; and (3) for billing account management and other legal or administrative matters.


User Accounts

How do we get your personal info? You may give us your personal information to create an account, or we will automatically create an account for you when you email a document to us for print, scan, or fax – even if you don’t finish your print order.

What is it?

  • Full name

  • Account login credentials
  • History of account activity (how much you spend, number of pages)

 

Our purpose for getting your personal info? We use this personal information to provide our services to you, to communicate with you regarding other services we think you’d be interested in, to provide customer support, and to obtain payment. We also use this personal information to enable you to view your account activity and track your credits.

Who do we share your personal info with? We share the User Account information with the following categories of third parties:

  • Cloud hosting provider
  • Email service provider

User Metadata

How do we get your personal info? We automatically collect User Metadata when you email documents to one of our location-specific email addresses.

What is it?

  • Full name
  • Email address
  • IP address
  • Name of your document
  • Your location (latitude/longitude)

Our purpose for getting your personal info? We use the User Metadata to recognize you and connect you with your User Account so you don’t have to login each time you want to use our services. Instead of logging in, you can email your documents for instant service. We think this is convenient for our customers. We also collect your location so we can connect you with one of our nearest printers or scanners.

Who do we share your personal info with? When you contact us or send us documents, your User Metadata is sent to our email provider through a proxy server that may collect your IP address. Your User Metadata is also stored in our third-party cloud hosting provider. In summary, we share the User Metadata with the following categories of third parties:

Transaction Data

How do we get your personal info? You provide Transaction Data when you use our services.

What is it?

  • # of pages you print/scan/fax
  • Amount you pay
  • Success of service
  • Date of the service
  • Location of the service
  • Status of our printers/scanners
  • Payment
  • Logs of your interaction with our devices
  • Submitted document

Our purpose for getting your personal info? We use Transaction Data to provide our services to you, monitor the success and quality of our services, and provide you with customer support. We also use Transaction Data to support the processing of payments.

Who do we share your personal info with? We share Transaction Data with the following categories of third parties:

  • Payment processor (See Braintree’s website for more information about how it handles your personal information.)
  • Log service provider

Your Documents

How do we get your personal info? You send the documents you want to print, scan, or fax as an attachment to one of our location-specific email addresses.

What is it?

  • Document (and whatever information is in it)

Our purpose for getting your personal info? We need your document if you want us to print, scan, or fax it.

Who do we share your personal info with? After we receive your document via email through our email service provider, we temporarily store it with our third-party cloud hosting provider for 24 hours. To print, your document goes to our printer server. To fax, your document goes to our third party fax vendor. Finally, if necessary to convert the format of your document to provide the services you selected, we use a third party formatting company to make the appropriate conversion. In summary, we share Your Documents with the following categories of third parties:

  • Email service provider
  • Cloud hosting provider (24 hours only)
  • Printer server (if you select our print service)
  • Fax vendor (if you select our fax service)
  • Format conversion provider

User Experience Survey

How do we get your personal info? We may solicit feedback from you about your experience with our services. These User Experience Surveys are completely optional for you to complete.

What is it?

  • Your survey response score
  • Other comments you decide to include

Our purpose for getting your personal info? We use information collected in the User Experience Survey to better understand our customers’ needs and identify areas where we can improve our services.

Who do we share your personal info with? We do not share personal information from User Experience Surveys with anyone. However, we may share anonymized and aggregated survey results with our equipment provider for the purpose of improving our services.

Customer Support

How do we get your personal info? You provide personal information to us when you contact us for support. If you contact us via email, we will automatically collect the metadata from your email to recognize you as our customer and connect you with your user account.

  • Location (longitude/latitude/service location)
  • Other info you decide to provide

 

Our purpose for getting your personal info? We use personal information collected during Customer Support to provide our services, troubleshoot, and provide other support you request.

Who do we share your personal info with? We use a third-party phone answering service to accept your phone calls. When you email us, your communication goes to our email provider, and we retain your emails to customer support after we resolve your support inquiry so we can identify and resolve any potentially reoccurring or long term issues. We keep your email associated with your PrintWithMe account and any other account(s) you may have with our affiliates, WithMe, Inc. or SipWithMe, LLC, so can we reflect on historical issues and provide you with support. In summary, we share Customer Support information with the following third parties and affiliates:

  • Phone answering provider
  • Email provider
  • Our affiliates

Chat Widget

How do we get your personal info? You provide information when you interact with the chat window on our website.

What is it?

  • Whatever info you decide to include in your chat

 

Our purpose for getting your personal info? We use the information you submit to the chat window to connect you with a human from PrintWithMe who can answer your questions in real-time.

Who do we share your personal info with? Information input into the chat widget is shared with the following third party:

Website Inquiry

What is it?

  • Full name

Our purpose for getting your personal info? We use personal information in your Website Inquiry to learn about potential business partners.

Who do we share your personal info with? We share your Website Inquiry with the following third parties:

  • Website host
  • CRM provider
  • Email service provider

Analytics

What is it?

  • Aggregated or anonymized data

 

Our purpose for getting your personal info? We collect and use data which is aggregated or anonymized to create statistics or reports that allow us to evaluate and understand the market and how our services are used. However, no single individual will be identifiable from the anonymized details we collect for these purposes.

2.2 Other Sharing

While we share your personal information with third parties as described in Section 2.1 Information We Collected About You, we may also share with other third parties to protect legal interests or in connection with business transactions.

Legal Interests

We may disclose personal information we collect about you to protect the vital interests of any person, to exercise and defend our legal rights, respond to claims, comply with court orders and similar legal or regulatory obligations, respond to a valid subpoena, court order, warrant, or similar government order, protect the safety of any person, prevent illegal activity, or when we believe in good faith that disclosure is reasonably necessary to protect our property or rights, or those of third parties or the public at large. This may include exchanging personal information with our lawyers, advisors, and other organizations for the purposes of fraud protection where we reasonably consider it is in our legitimate interests or the legitimate interests of others to comply, as well as where we are legally required to do so.

Business Transactions

We may share personal information where it is in our legitimate interests to do so to run, grow and develop our business if we are involved in a merger, sale, or acquisition. If any such change of ownership happens, we will ensure it is under terms that preserve the confidentiality of personal information, and we will notify you on our website or by email before any transfer of your personal information.

2.3 Information We Do Not Collect

We do not intend to collect or store sensitive personal data such as genetic data, health information, gender, race, sexual preferences, or religious information. Although PrintWithMe does not request or intentionally collect such information, we realize that you could possibly send it to us when you use our services to print, scan, or fax a document. If you do not want us to process your sensitive personal data, you should not submit documents with sensitive personal data to us to be printed, faxed, or scanned.

2.4 Age Limitations

PrintWithMe does not knowingly or intentionally collect information from or direct any of our content specifically to children under 16 years old. As set out in our Terms of Service, if we learn or have reason to suspect that you are a user who is under the age of 16, and you have an account with us we will unfortunately have to close your account.

3. Data Retention Period

We retain your personal information up to 30 days from when we receive your request to delete it (assuming the request can be verified). Otherwise, we retain personal information from support inquiries for up to one year.

4. No Sale of Personal Information

We will not sell your personal information to any party. If in the future, we anticipate selling your personal information to any party, we will update this Privacy Notice.

5. How We Protect Personal Information

PrintWithMe takes the security of data very seriously, and we work hard to protect any information you provide to us from loss, misuse, and unauthorized access or disclosure. PrintWithMe cannot guarantee that information, during transmission through the Internet or while stored on our systems or otherwise in our care, will be absolutely safe from intrusion by others, but we do our utmost to protect it.

As a minimum, we take the following measures to secure your data:

  • Data Transfer Integrity - All traffic to and from PrintWithMe servers is secured by transport level security (TLS) sent over a Secure Socket Layer (SSL) and secured using an AES 256-bit SSL certificate. This ensures that data sent between your systems and ours is encrypted.
  • Password Encryption - PrintWithMe user passwords are stored in our database after being hashed.
  • Firewalls - PrintWithMe enforces network level control for access to infrastructure by using multiple different firewall technologies to ensure that different components of its systems are logically isolated from one another.
  • Operational Access Controls - PrintWithMe employees require access to production services for operational reasons. We employ multiple authentication mechanisms to reduce the risk of unauthorized access.

Software Updates - PrintWithMe regularly applies software patches to production infrastructure in order to ensure a strong security posture to known software vulnerabilities.

6. Your Rights

6.1 Everyone Everywhere

We extend the following rights to all of our users.

Right to Access

You have the right to request that we disclose certain information to you about our collection and use of your personal information over the past 12 months. Once we receive and confirm your verifiable consumer request (see Exercising Access, Data Portability, and Deletion Rights), we will disclose to you:

  • The categories of personal information we’ve collected about you.
  • The categories of sources for the personal information we’ve collected about you.
  • Our business or commercial purpose for collecting or selling that personal information.
  • The categories of third parties with whom we share that personal information.
  • The specific pieces of personal information we’ve collected about you (also called a data portability request).
  • If we sold or disclosed your personal information for a business purpose, two separate lists disclosing:
    • sales, identifying the personal information categories that each category of recipient purchased; and
    • disclosures for a business purpose, identifying the personal information categories that each category of recipient obtained.

Right to Data Portability

You have the right to obtain your personal information from us in a structured, commonly used and machine-readable format.

Right to Correct

If your personal information is inaccurate or incomplete, you are entitled to have it rectified or completed. If we have shared your personal information with others, we will tell them about the rectification where possible. If you ask us, where possible and lawful to do so, we will also tell you with whom we shared your personal information so that you can contact them directly.

Right to Delete

Even if you do not claim your User Account, we still may have your personal information.

If you no longer want us to use your information to provide the services to you, you may delete your account by sending an email to us at privacy@WithMe.com
with “Delete my account” in the subject line.

Once we receive and confirm your verifiable consumer request (see How To Exercise Your Rights), unless an exception applies, we will delete your personal information from our records within 30 days after we confirm your verified request, and if we have shared your data with others, we will instruct them to delete your information where possible. If you ask us, where possible and lawful to do so, we will also tell you with whom we shared your personal information so that you can contact them directly.

We may deny your deletion request if retaining the information is necessary for us or our service provider(s) to:

  • Complete the transaction for which we collected the personal information, provide a good or service that you requested, take actions reasonably anticipated within the context of our ongoing business relationship with you, or otherwise perform our contract with you.
  • Detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activity, or prosecute those responsible for such activities.
  • Debug products to identify and repair errors that impair existing intended functionality.
  • Comply with the California Electronic Communications Privacy Act (Cal. Penal Code § 1546 seq.).
  • Enable solely internal uses that are reasonably aligned with consumer expectations based on your relationship with us.
  • Comply with a legal obligation and due diligence.
  • Make other internal and lawful uses of that information that are compatible with the context in which you provided it.

Personal Information Sales

We will not sell your personal information to any party. If in the future, we anticipate selling your personal information to any party, we will provide you with the opt-out and opt-in rights required by the CCPA.

Right to Limit Sensitive Data*

You have the right to limit our use and disclosure of sensitive personal information.

Right to Opt Out of Targeted Advertising*

You have the right to be free from targeted advertising based on your activity on other websites and platforms.

Right to Opt Out of Automated Profiling*

You have the right to be free from decisions based solely on automated processing of your personal information, including profiling, which produce a significant legal effect on you, unless such profiling is necessary for entering into, or the performance of, a contract between you and us, or with your explicit consent.

Right to Opt Out of Sale*

You have the right to prevent your personal data from being sold by us to third parties.

Right to Appeal

If we deny your request, you have the right to appeal our denial of your request.

Right to Nondiscrimination

We will not discriminate against you for exercising any of your privacy rights. Unless permitted by law, we will not:

  • Deny you goods or services.
  • Charge you different prices or rates for goods or services, including through granting discounts or other benefits, or imposing penalties.
  • Provide you a different level or quality of goods or services.
  • Suggest that you may receive a different price or rate for goods or services or a different level or quality of goods or services.

*Please note that these rights do not currently apply because we do not process sensitive personal information in a manner that requires an opt-out, sell personal information, profile using personal information, or share personal information for cross-context behavior targeting. We will update this privacy notice if we intend to use personal information for such things in the future.

6.2 How to Exercise Your Privacy Rights

with “Data Privacy Rights” in the subject line.

Please note that we will ask you to verify your identity before taking further action on your request. Some requests may be made no more than once per calendar year. For example, you may only make a request for access or data portability twice within a 12-month period.

Additionally, your request and choices may be limited in certain cases: for example, if fulfilling your request would reveal information about another person, or if you ask to delete information which we are permitted by law or have compelling legitimate interests to keep.

We endeavor to respond to a verifiable consumer request within forty-five (45) days of its receipt. If we require more time, we will inform you of the reason and extension period in writing. We reserve our right not to respond to requests submitted other than to the email specified above.

7. Cookies & Other Tracking Technologies

7.1 What Are Cookies?

Cookies are small text files (typically made up of letters and numbers) placed in the memory of your browser or device when you visit a website or view a message. They allow a website to recognize a particular device or browser. Session-based cookies last only while your browser is open and are automatically deleted when you close your browser. Persistent cookies last until you or your browser delete them or until they expire.

7.2 Does PrintWithMe Use Cookies?

We use a cookie to recognize you and authenticate your identity when you visit our website or use our services. We don't store user data in the cookie itself.

7.3 What Can You Do If You Don’t Want Any Cookies to Be Set or Want Them to Be Removed?

Some people prefer not to allow cookies, which is why most browsers give you the ability to manage cookies to suit you. In some browsers you can set up rules to manage cookies on a site-by-site basis, giving you more fine-grained control over your privacy. What this means is that you can disallow cookies from all sites except those that you trust.

7.4 Does PrintWithMe Use Other Tracking Technology?

We also use some third-party pixels such as LinkedIn, Facebook Ad Network, Google Analytics & Ad Network to track our ad conversions, retarget visitors with ads, and measure the effectiveness of promotions.

8. Other Important Information

8.1 Changes to This Privacy Notice

We may change this Privacy Notice from time to time. Laws, regulations and industry standards evolve, which may make those changes necessary, or we may make changes to our business. We will post the changes to this page and update the "updated date" when we do. We encourage you to review our Privacy Notice to stay informed. If we make changes that materially alter your privacy rights, we will provide additional notice, such as via email or through the services. If you disagree with the changes to this Privacy Notice, you should deactivate your account with PrintWithMe, or otherwise cease use of our services.
